Notification Settings

Notification Settings allow you to configure email notifications for new form submissions. Get instant alerts when someone submits your form, so you can respond quickly.

Accessing Notification Settings

Navigate to any form, click "Settings" in the navigation menu, then select "Notifications". You'll see email notification options.

Notification settings require appropriate permissions. Contact the form owner if you don't see these options.

Email Notifications

Configure email addresses that will receive notifications for new submissions:

  • Email Addresses: Enter email addresses separated by commas
  • Format: [email protected], [email protected]
  • Instant Alerts: Notifications are sent immediately when a submission is received

Email notifications are sent for all submissions, including those marked as spam. You can filter spam in your email client if needed.

Setting Up Email Notifications

Access Notification Settings

Navigate to your form's Settings → Notifications page.

Add Email Addresses

Enter the email addresses that should receive notifications. You can add multiple addresses separated by commas.

Save Settings

Click save to activate email notifications. You'll start receiving emails for new submissions immediately.

Test Notifications

Submit a test form to verify that email notifications are working correctly.

Email Notification Content

Each notification email includes:

  • Form Name: Which form received the submission
  • Submission Data: All form field values
  • Metadata: Timestamp, IP address, and other technical details
  • Spam Status: Whether the submission was flagged as spam
  • Direct Link: Link to view the submission in the dashboard

Email notifications provide a quick way to review submissions without logging into the dashboard.

Managing Multiple Recipients

You can add multiple email addresses to receive notifications:

  • Team Members: Add team member emails for collaboration
  • Different Departments: Route notifications to relevant departments
  • Backup Addresses: Include backup addresses to ensure no notifications are missed

All recipients receive the same notification email. Use this to keep your team informed about form activity.

Notification Behavior

Email notifications work with other form settings:

  • Form Status: Notifications are only sent when the form is enabled
  • Spam Protection: Spam submissions also trigger notifications (you can filter these in your email)
  • Data Retention: Notifications are sent regardless of data retention settings

If your form is disabled, notifications will not be sent. Enable the form in General Settings to resume notifications.

Best Practices

  1. Use Team Emails: Add team email addresses for shared forms
  2. Monitor Spam: Check spam submissions in notifications to identify patterns
  3. Respond Quickly: Use notifications to respond to inquiries promptly
  4. Backup Addresses: Include backup email addresses to ensure delivery
  5. Filter in Email: Use email filters to organize notifications by form or type

Alternative Notification Methods

While email notifications are the primary method, you can also use:

  • Webhooks: For real-time integration with external systems
  • Dashboard: Check the Submissions page regularly

Troubleshooting

Not Receiving Emails

If you're not receiving email notifications:

  1. Check Form Status: Ensure the form is enabled
  2. Verify Email Addresses: Confirm email addresses are correct
  3. Check Spam Folder: Notifications might be in your spam folder
  4. Test Submission: Submit a test form to verify notifications are working

Too Many Emails

If you're receiving too many notifications:

  1. Review Spam Settings: Enable spam protection to reduce spam submissions
  2. Use Email Filters: Set up filters to organize notifications
  3. Reduce Recipients: Remove unnecessary email addresses
